What you need to consider before creating an invitation template
Before deciding on a design, ask yourself these questions:
What is the format of the event: a serious, official or informal?
In this case, there are fundamental differences: official invitation forms should contain only black text printed on ideally white paper. In the case of official invitation forms used at diplomatic and state levels, handwritten text is not allowed, and in the case of less formal invitation cards, printed text can be partially replaced by handwritten text. Such invitations on the letterhead of the company are sent to the recipient in advance: for a month or, as a last resort, two weeks before the event. In this case, you must follow a strict form of registration: specify a valid dress code and ask for a notification in case of refusal to attend the event.
Who is the target audience?
It is necessary to take into account age and sex differences, the format of the event and tastes. For example, if you decide to use brown invitation templates, then remember that this will be a great idea for an event timed to the opening of a fashionable cafe in the style of “loft”, but for the restaurant – in no way.
How to fill out an official invitation form
Official invitation forms require a standard form of treatment: first-person plural. Thus, using the pronoun “we” and the forms of verbs “invite, bring to your attention, etc.”, you act on behalf of the whole firm or enterprise.
When the invitation involves an appeal to a specific person, it is necessary to use the cliche “Dear”, as well as the standard phrases “We invite; would like to see you at our event; Your visit would be a great honor for us, etc. “or” It would be a great honor for us to see you at our event / event as experts / critics / experts.”
The invitation form for official events should be drawn on the model:
Phone, e-mail, etc .;
Dear (th, th) “guest name” / ladies and gentlemen;
We would like to invite you to the “name and / or description of the event”, which will take place in the “address / name of the institution, etc.”;
Organizers “event name”: “list of organizers”;
Leading “event name”: “list of leaders”;
At the time of the “name of the event”: “topic, list of issues necessary for discussion and so on”;
“Some additional information”;
In case of questions about the “event name”, call / write to “phone, e-mail, address, etc.”;
General Director of “such and such a company,” the signature.
The business invitation form must contain the following: company name, company code, company reference information, OGRN, TIN, date, registration number, sender’s address, chief’s signature, stamp about the performer.
The content of the invitation letter should be concise and specific, not permitting a diverse interpretation. It should be devoted only to one topic – the upcoming event. The invitation form is made in two copies: one is sent to the recipient, the second is signed by the manager and remains in the company-sender.
